Use this article as a guide when integrating your account with ConnectWise.

At any time, you can come back to the Integrations page (Settings > Integrations) to make changes to the integration.

The field mappings are set up automatically when you follow the instructions below. For more information, take a look at this article.

Prerequisites

  • The ConnectWise Opportunity requires a company to be present. We recommend navigating to Settings > Required Fields to make the Organization a required field in Quoter.

  • The API Keys are recommended to be created by a Regular ConnectWise member by going to System > Members to select the preferred Member. Click on API Keys > Click the + > Add 'Quoter' to Description > Click Save. Copy and Paste the Public Key and Private Key into the respective values in Quoter. As these keys are only available when the key is created, please keep a record of these keys for future reference.

  • You can assign an API member to a custom role specifically for API access. Click here to view the required permissions to use with Quoter.

Integration Overview

  • When creating a Quote in Quoter, you can search for an existing ConnectWise Contact or create a new one automatically. Please note that existing ConnectWise Opportunities must be Active with a future expected close date to be shown in Quoter. You can also pull existing ConnectWise Products into Quoter Quotes in real-time and check ConnectWise inventory.

  • When a Quote is created or updated in Quoter, the ConnectWise Opportunity will be updated with the value of the Quote, and the line items in the Quoter Quote. Quoter automatically matches your existing Items, or creates new ones if they do not exist.

  • When a Quoter Quote is won or lost, Quoter will update the status of the ConnectWise Opportunity according to the mapping settings you configure.

Setup Instructions

  1. Navigate to Settings > Integrations to select ConnectWise under Professional Services Automation (PSA):

2. You'll be navigated to the Add ConnectWise Integration dialog that will allow you to select the appropriate Region and and input your case-sensitive ConnectWise Company name. Enter your credentials then click Connect to ConnectWise:

To complete the setup process, fill out the Integration Settings (Opportunity Settings, Quote Status Mapping, Product Search Settings, Product Push Settings, Item Category Mapping, Recurring Item Frequency Mapping, Shipping and Discounting Mapping, and Tax Code Mapping) and click Save Integration:

PSA for Partners: Fix Deployed for Incorrect UOM Measures on ConnectWise Items Causing Discrepancies on Template Level (May 5, 2023): Previously, many of our Partners used the UOM 'Each' under Settings > Integrations > Recurring Item Frequency Mapping in cases where a matching frequency was not set up in ConnectWise (e.g. setting a Recurring Frequency to 'Each' when an 'Annual' UOM was not set up in ConnectWise).

With a new update that allows Partners to add these Items on the Template level, we will set these Items as 'Annual' Recurring, which will not allow a Quote to be created from the Template and display the error message seen here ('We cannot load this form because the Template and Line Items have different recurring frequencies, which we no longer support'):

Even if 'Each' is set for the Non-Recurring UOM mapping, we will set the Item as 'Annual' Recurring when added to the Template. If this occurs, please update the Recurring Item Frequency Mapping settings.

Mapping Quoter Custom Fields to ConnectWise PO#

You can now map a Quoter Custom Field to the Customer PO# field in ConnectWise directly.

  1. First, create a Custom Field under Templates > Custom Fields and apply it to a Template(s). You can choose whether this field is added by you or the client by choosing it to appear on the Quote Create or Quote Acceptance page, respectively.
    ​Note: Only Text type fields can be mapped.

  2. Next, under the Integration Settings for ConnectWise, choose the Custom Field that you want to map to the Customer PO# field. You can also choose not to push any field:
