This article defines how that data will be pushed from Quoter to Datto Autotask PSA. Learn more about integrating with Datto Autotask PSA in this article.
Module Mapping
Person
When creating a Quote in Quoter, you can search for an existing Autotask PSA Contact using our Person Search feature or create new ones automatically.
The following Autotask Contact or Account fields are searched when using Person Search:
First Name
Last Name
Email Address
Work Phone
Organization
When creating or editing a new Person in Quoter, the information will be pushed to an Autotask PSA Contact and Account. Quoter will try to match Contacts by email address and Accounts by name. If nothing is found in Autotask PSA, a new entry will be created. Otherwise, Quoter will use the first result found.
Quote
When a Quote is created or updated in Quoter, the Autotask PSA Opportunity will be updated with the value of the Quote, and an Autotask PSA Quote will be created or updated with the Line Items in the Quoter Quote. Quoter automatically matches your existing Products or Services, or creates a new one if they do not exist.
When a Quoter Quote is won or lost, Quoter will update the status of the Autotask PSA Opportunity according to the mapping settings you configure.
Includes LiveLinks and ExecuteCommand capability:
LiveLinks are intelligent links from Autotask PSA to external applications or websites, or customized links within Autotask PSA. LiveLinks can pass Autotask PSA information to a target application or website.
ExecuteCommand uses simple browser-level commands to programmatically access specific pages in Autotask.
When creating a Quote in Quoter, you can pull existing Autotask PSA Products into Quoter Quotes in real-time.
Please Note: Quoter Items with recurring payments will be posted as Autotask PSA Services, and non-recurring payments as Autotask PSA Products. While Autotask PSA Products can have a defined Period Type, Quoter doesn't currently support recurring Products. Please create Autotask PSA Services to prevent any issues.
*Quoter will try to match the User by email address when posting to Autotask PSA. In the case that the employee is not found, the Default Sales Rep will be assigned to the Opportunity instead.
**The Default Probability is defined under the Opportunity Settings when adding the Datto Autotask PSA Integration.
***The Default Stage is defined under the Opportunity Settings when adding the Datto Autotask PSA Integration. Should this need to be changed, navigate to Settings > Integrations to edit the Integration accordingly.
The Quoter Quote Address will sync to the Autotask PSA Quote's Sold To address, Bill To address and Ship To address fields. If 'Show Shipping Address' is enabled when creating the Quote in Quoter, the Quoter Quote Shipping Address will sync to the Ship To address, while the Quoter Quote Address will sync to the Autotask PSA Quote Sold To and Bill To address fields.
Item
Quoter Items with recurring payments will be posted as Autotask PSA Services, and non-recurring payments as Autotask PSA Products.
* Non-Recurring Quoter Items will be matched by Item Name in Autotask PSA.
** The Autotask PSA Quote Item Product Item Description can be found when editing the Opportunity Quote Items.
*** Due to API Limitations, categories cannot be created in Autotask. As a result, Quoter will try to match the Quoter Category and Subcategory to an existing Autotask Product Category. If a match is found, the Product Category field will be set with the matching category. If no match is found, the Product Category field will not be set.
Please note: When Pulling the Product from Autotask, the Product Category will be mapped to the Quoter Category and Quoter Subcategory (if present).
**** The Default Product Material Code can be defined in the Integration Settings. If you'd like to override the Default Product Material Code per Item Type, please navigate to Settings > Integrations to edit the Datto Autotask PSA Integration to define the required mapping.
***** The Quoter Supplier, when pushed Datto Autotask PSA, will find an existing Vendor (matched by Vendor Name) or create a new Vendor to be associated with the existing/new Datto Autotask PSA Product.
* Recurring Quoter Items will be matched by Item Name in Autotask PSA.
** The Quoter Supplier, when pushed to Datto Autotask PSA, will find an existing Vendor (matched by Vendor Name) or create a new Vendor to be associated with the existing/new Datto Autotask PSA Service.
*** The Default Service Code can be defined in the Integration Settings. If you'd like to override the Default Service Code per Item Type, please navigate to Settings > Integrations to edit the Datto Autotask PSA Integration to define the required mapping.
Matching Logic
Person
Quoter will try to match Contacts by email address and Account by name when pushing a Person to Autotask. If nothing is found in Autotask PSA, a new entry will be created, otherwise Quoter will use the first result found.
Item
When an Item is pushed to Autotask, it will search for an existing Autotask Product by the Manufacturer Part Number (MPN). If MPN is present, search for existing products by MPN.
If single match found, use it.
If multiple matches found, use the first result.
If Supplier SKU is present, filter matches by comparing our Supplier SKU to the equivalent field in the PSA.
If single match found, use it.
If multiple matches found, use the first result.
The filter also matches by comparing our Item Name to the equivalent field in the PSA.
If single match found, use it.
If no MPN present, or no matches are found when searching by MPN, search for existing products by Supplier SKU.
If no MPN or SKU present, or no matches are found when searching by MPN or SKU, search for existing products by Item Name.
If single match found, use it.
If match not found, create new product.
Matching Logic Limitations
Product Names are unique in Autotask, so Product Search by Name will always return a single result or nothing.
The API does not support sorting. If multiple results are found when narrowing down by SKU, the first result will be returned.
