Overview

Note: Profitability reporting will be free to all users until December 31, 2025. After this date, it will be available to users with Pro and above or purchased as a separate add-on.  

Profitability reporting uses semantic product groupings to provide our Partners with deeper insight into their revenue, margins, and salespeople's performance.  

What is a Semantic Product? 

A semantic product is a smart grouping of similar quoted line items that represent the same underlying product or service, even if they appear differently across quotes.

The system groups line items by manufacturer and part number whenever possible.

If no match is found, it compares manufacturer part numbers. Finally, if no match is found, it searches line item names for an exact name match (all the characters must match between the line item name and the semantic product name), then automatically creates a new semantic product. 

For example, Quoter could recognize that following the previous logic of matching the manufacturer and/or part number, Microsoft 365 Business Standard, M365 Biz Std, and MS 365 Standard could all refer to the same product.

This allows reporting to show true product and service level insights — so you can see a single product's profitability, revenue, and sales performance, no matter how it was labeled or quoted. 

Reporting Settings

Profitability reporting will automatically be enabled for all Partners as a trial until December 31, 2025, after which only customers with paid access for the feature will retain access to Profitability Reporting, and legacy reporting will be deprecated. 

To switch back to Legacy Reporting: 

  1. Navigate to Settings > General
  2. Scroll down the page to the Reporting section and select Legacy reporting from the drop-down menu.
  3. Click Save

The Profitability reporting feature has two different reporting options, each having its own tab: 

  1. Leaderboard for salespeople.
  2. Line Items for Quote line items. 

Reporting Leaderboard

Note: Any Quotes that contain a line item with a null cost value ( i.e., no cost value exists) won’t populate as a Quote on the salesperson leaderboard, which may affect commission tracking. We recommend that Partners ensure that all line items have a defined cost value to guarantee the data integrity for reporting.  

The Profitability reporting Leaderboard filters based on when the Quote was won (accepted, ordered, or fulfilled). 

To view your leaderboard report:

  1. Select to view Top or Bottom ranked salespeople by data.
  2. Select the quantity of salespeople you’d like to view. 
  3. Select the currency type.
  4. Select to sort by Recurring Revenue, Recurring Margin, One-Time Revenue, or One-Time Margin
  5. Set a beginning and ending date range.

Quoter calculates revenue by multiplying price x quantity, then subtracting discounts and taxes.

Hover over a salesperson to view their specific highlights for the selected time period. 

Reporting Line Items

Line Items profitability data uses semantic product groupings to provide insights like comparing margins between two products or services quoted with an underlying similarity but given different line item names.  

To view your Line Items report: 

  1. Select to view Top or Bottom ranked line items by data.
  2. Select the quantity of line items you’d like to view. 
  3. Select the currency type.
  4. Select to sort by Recurring Revenue, Recurring Margin, One-Time Revenue, or One-Time Margin
  5. Set a beginning and ending date range.

Hover over a line item to view their specific highlights for the selected time period. 

Scroll down the page to see a table view of the statistics for the semantic products based on your filter. 

From the table, click View Detailed Report to see the details of that specific semantic product, including all the Quotes that the product appeared on. 

Limitations

  • Due to data structure changes we've previously made, we can only show Quoter historical data up to October 3, 2022.
  • Profitability Reporting relies on including cost data.  For our analysis to work consistently, we recommend that every item on a Won quote include a cost, even if that cost is $0
    • Leaderboard requires that every line item on the quote have a unit cost.
    • Line Item Profitability Reporting needs to have the unit cost included on that line item.
Note: quoted items with null/blank/ no value on a Won quote will cause that Quote to be omitted from profitability reporting. We recommend that any quoted items have a minimum value of $0.
