Overview
Partners can send upfront payments, deposits, and recurring fees through invoices when Quoter is integrated with their payment gateway of choice.
| Note: While all payment gateway integrations can send upfront payments and deposits, only Authorize.net, Stripe, and PayPal can send recurring fees through invoices at this time. |
What are Recurring Fees?
Recurring fees are payments charged at regular intervals, such as subscription fees or support charges.
What is an Upfront Payment?
In Quoter, the upfront total refers to the total amount the customer must pay upon acceptance of the quote. If payment is set to required, this total is calculated before any deposit logic is applied. It includes all one-time line items on the quote and can optionally include a chosen number of recurring billing periods for recurring line items.
For example:
- In a Quote with only one-time line items, the upfront total equals the one-time total. In this case, the Upfront Payments section won't be shown on the Quote.
- In a Quote with recurring line items (e.g., $100 per month), you can choose to bill for one or more billing periods upfront, such as collecting $100 for one month or $200 for two months, in addition to any one-time charges.
In short, the upfront payment represents the full amount due immediately upon acceptance, based on the configured combination of one-time and recurring billing periods, to be paid in advance.
What is a Deposit?
In Quoter, the optional deposit is the portion of the upfront total that must be paid upon acceptance of the quote. It can be configured as either a fixed dollar amount or a percentage of the upfront total.
Setting up your payment gateway integration
Find your payment gateway and follow the instructions to set up your Quoter integration.
Recurring fees and upfront payments
Recurring fees frequency and the amount of upfront payments are set on the Template level in Quoter.
- Navigate to Templates > Templates >
Edit this Template.
- Scroll down to the Recurring Fees section.
Recurring fees
Setting up recurring fees will show the payments required for Quote line items with a repeated cadence, such as managed service plans, warranties, and data protection moving forward, when sending your first Quote to your customer.
| Note: Unless using Stripe, Authorize.net, or PayPal, setting recurring fees will not trigger repeated billing on your payment gateway and only highlights to your customer the billed value moving forward. Further recurring charges will need to be set up manually outside of the Quoter application. |
Recurring fees can be set to bill monthly, quarterly, semi-annually, or annually.

Note: When using Stripe, Authorize.net, or PayPal, you can select the number of days in the grace period to delay subscription creation by the amount added. For example, if you have zero upfront payments and want the recurring fees delayed to next month, set a 30-day grace period to delay the subscription charge. |
Setting up deposits
| Note: Deposits can only be used if you're integrated with a payment gateway. |
Partners can specify a deposit amount to request on their Quote by following the process below:
- Navigate to Templates > Templates >
Edit this Template.
- Click on the Acceptance & Payments tab.
| Note: Recurring fees aren't taken into account when determining deposit amounts. |
Under payments, you’ll have several options:

Full Payment -- charge the entire upfront amount.
- If Payment Required is enabled, the customer must pay to accept the Quote.

If disabled, they can sign for it without paying.

Deposit -- choose the amount to charge and select Enabled/Disabled to specify the payment requirement. .
- Select Fixed Amount to set a specific dollar amount, or
- Select Percentage of Quote to set a percentage.

Note: The deposit amount is always taken from the upfront total on the Quote. Recurring subscriptions won't be created for deposit payments.
- Selecting Disabled will disable the payment gateway for this Template.
- Click Save Template to save your changes.
| Note: Recurring frequencies, upfront payments, and grace periods can only be adjusted on the template level. If any changes have been made, a new Quote must be created for the changes to take effect. |
