Using Content Blocks

Overview

Note: Content blocks are available to users with Product Manager permissions or higher, but can be added to a Quote by any user.  

Content blocks are reusable modules of text that contain information you often provide to your customers. 

These items, often boilerplate text such as: 

  • Payment terms
  • Scope of Work
  • Services Included

can be written once and then re-added to other templates, reducing the amount of work needed to prepare your Quotes. 

Creating a new content block

  1. Navigate to Templates > Content Blocks > + New Content Block. add new content block.png
  2. Add a Content Block Name.
  3. Check Lock Editing on Quote to prevent modification to this block within Quotes.
  4. Add your content to the editor.
  5. Click Create Content Block.

Editing or deleting an existing block

  1. Navigate to Templates > Content Blocks.
  2. Select the content block to edit and click to edit, or to delete. 

Adding a content block to an existing template

  1. Navigate to Templates > Templates > Click on the template you’d like to edit.
  2. Select the Content Blocks tab. All content blocks that are currently added to the Quote will appear here.
    1. Content blocks with a icon are locked and can’t be edited on a Quote. To edit these blocks, click the Manage Content Block button and find the named content block. Click the icon to edit the content. locked content block.png
  3. Click +Add Content Block and check the box beside any content blocks you want to add to the template. Optionally, use the search bar to type the name of the content block you’d like to add to avoid scrolling through all the choices.add block to existing template.png
  4. Once completed, click Add Selected Blocks

Customize the order of content blocks by hovering over then dragging and dropping the selected block to the newly desired position within the template. 

Editing or modifying content blocks on a Quote

Partners can edit or modify content blocks directly on the Quote for scenarios such as: 

  • Quotes that require unique text where premade content blocks are insufficient.
  • Quotes where an additional content block is required, only for that specific Quote. 

To modify or edit content blocks on a Quote: 

  1. Navigate to Quotes > Quotes List > Click the icon beside the quote you’d like to edit.
  2. Scroll down the screen to locate the Introductory Content section or the Closing Content section. Content blocks can be added to either of these sections. 
  3. After choosing the appropriate section, click +Add Content Block to bring up the content blocks modal to choose which blocks you want to add to the Quote.

  4. Optionally, click Create New Block in the modal to create new content. The content will be saved as a new content block, which you can then add and select to your Quote. 

Content blocks can be moved by dragging and dropping within the Introductory Content or Closing Content section and transferred between the two sections. 

Outdated, orphaned, or modified content blocks

Since content blocks are reusable and can be updated at any time, a content block that’s been changed on one template may become outdated. If so, the content block will show an Out of Date warning on that specific Quote or template. out of date cb warning.png

To refresh and update out-of-date content blocks, remove them, then re-add the outdated block. 

Content blocks may also be deleted when deemed no longer necessary and deprecated. These content blocks will show an Orphaned warning to advise that the content block should be removed from the Quote/template.

Alternatively, content blocks that aren't locked from editing on a template level can be edited on a Quote. To ensure that Partners know that the content block has been modified from the original, the content block will show a Modified warning. modified cb warning.png

Note: The Modified warning will not appear on the Quote until the quote is saved, published, or revised.
